Intake Coordinator

The Intake Coordinator is responsible for facilitating the timely evaluation and acceptance of patients referred for service. The Intake Coordinator acts as a liaison between the referral source and the pharmacy to ensure a smooth transition of care. This position will view and prioritize all incoming faxed and electronic prescription orders and will process them in a timely manner.  This position may also be responsible for insurance verifications/authorizations, patient scheduling, and working with other teams.

Primary Duties and Responsibilities

  • Record and process prescription orders received by fax, telephone, or electronic
  • Register new patients
  • Conduct benefits investigation by investigating and verifying benefits for pharmacy third-party claims for the prescribed medication(s)
  • Welcome and orient new patients
    • Collect and verify patient demographic data
    • Collect and record clinical information including patient health history, medication history, allergies, sensitivity history, and other relevant information
    • Assist the Pharmacist in validating the safety and appropriateness of the medication
    • Perform test claim, and reviews results and next steps with the patient
  • Initiate and process refill authorizations
  • Responsible for patient calls (inbound and outbound)
  • Responsible for contacting provider’s offices for medication orders, pharmacy services, and all other inquiries
  • Comprehensively document all patient related information/conversations in patient’s clinical record
  • Document patient complaints, incidents, and occurrences in accordance with established procedures
  • Daily review of pending orders and timely follow-up with providers and patients in pursuing completion of pending information until order has been processed
  • Liaise with management team to inform them of any patient or practice issues/concerns, as well as new prescriptions from new prescribers
  • Obtain authorization for requested therapy and re-authorization as necessary, including gathering patient-specific clinical data from referral sources
  • Responsible for adhering to the quality, production, and turnaround standards associated with the pharmacy department

Education/Experience

  • Current Pharmacy Technician License/Registration without restrictions in good standing with State Board of Pharmacy if required in the State in which the position is located
  • High school diploma/GED required; College degree is preferred
  • Must have at least two years of pharmacy technician experience doing data entry
  • Knowledge of medical and pharmacy terminology

  • Strong analytical, planning, and organizational skills
  • Excellent oral, written, and interpersonal skills
  • Time management and prioritization skills
  • Quality minded; motivated to seek out errors and inquire when something appears inaccurate
  • Ability to work and produce results under pressure
  • Computer proficiency in Microsoft Office applications particularly Outlook and Word

Physical Demands

  • Repetitive use of hands and fingers (e.g. computer keyboards, filing, etc.)
  • Standing, sitting, or walking for periods of time
  • Normal range of hearing and vision to perform work and communication
